1. Scope
This Privacy Policy explains how Nebula AI, LLC ("Nebula AI," "we," "our," or "us") collects, uses, discloses, and protects information when you use our website, desktop application, accounts, downloads, subscriptions, AI features, collaboration features, and support channels (together, the "Service").
Nebula Writer is local-first. Your project files are stored on your device by default. We receive document content only when you choose to send it to an online feature, such as AI assistance, cloud sharing, collaboration, Python execution, support, or diagnostics.
2. Information We Collect
- Account information: name, email address, profile image, third-party sign-in identifiers, account IDs, session information, authentication tokens, temporary device sign-in codes, subscription tier, and account settings.
- Billing information: subscription plan, billing customer ID, checkout status, invoice and payment status, billing email, and related transaction metadata. Our payment processor handles payment card details; we do not store full card numbers.
- Website, download, and device data:pages visited, download platform, app version, referring page, user agent, IP address or country derived from IP address, browser and operating system signals, and cookie or session identifiers needed for authentication and analytics.
- Product usage data: app events, feature usage, session identifiers, model selected, token counts, compute usage, quota usage, timestamps, and high-level document metadata such as file type or size. Product analytics are intended not to include your document content.
- Document and prompt content: the prompts, selected text, active document context, @mentioned files, images, tool outputs, code, data, and other content you intentionally send to AI, search, Python execution, cloud sharing, collaboration, or support features.
- Cloud collaboration data: shared folder names, descriptions, member roles, invite tokens, shared document metadata, stored shared document content, collaboration session records, CRDT snapshots, document operation logs, and activity history.
- Diagnostics and support data: error messages, stack traces, component traces, app version, URLs, subscription status, LaTeX compilation logs, filenames or vault-relative paths, missing package names, support messages, and attachments you choose to provide.
3. Sources of Information
We collect information directly from you, from your device or browser, from the desktop app, from authentication and billing services, from service vendors that help operate Nebula Writer, and from collaborators who invite you to shared folders or interact with shared documents.
4. How We Use Information
- Provide, secure, maintain, troubleshoot, and improve the Service.
- Create accounts, authenticate users, connect the website and desktop app, and manage sessions.
- Process subscriptions, renewals, cancellations, taxes, billing support, and fraud prevention.
- Operate AI, research lookup, Python execution, cloud sharing, and collaboration features you request.
- Measure product usage, enforce quotas, calculate usage costs, and understand app health.
- Respond to support requests, diagnose errors, communicate service updates, and provide administrative notices.
- Protect users, enforce our Terms of Service, prevent abuse, and comply with legal obligations.
5. AI, Search, and Execution Features
When you use AI features, Nebula Writer sends the context needed for your request to hosted services that process the request with the selected AI service. The exact content sent depends on your prompt, selected model, active document, attached images, files you mention, and tools the assistant uses.
We do not use your document content to train our own AI models. We configure AI services not to use API content for model training where those controls are available, but third-party processing, logging, abuse monitoring, and retention are also governed by their terms and privacy notices.
Research and web lookup features may send search queries to third-party search, academic, and public data services. Python execution features may send your code and selected data to a hosted execution environment so the code can run and return outputs.
6. How We Disclose Information
We disclose information only as needed to operate Nebula Writer, at your direction, or as required by law. This includes disclosures to:
- Infrastructure, hosting, database, authentication, analytics, logging, and security vendors.
- Payment and subscription processors.
- Third-party sign-in services.
- AI model, research, search, and code execution services used for features you request.
- Collaborators you invite or whose invites you accept, according to the permissions of shared folders and documents.
- Professional advisors, law enforcement, regulators, courts, or other parties when necessary to comply with law or protect rights, safety, and security.
- Successors in connection with a merger, acquisition, financing, reorganization, bankruptcy, or sale of all or part of our business.
We do not sell your personal information. We do not share personal information for cross-context behavioral advertising, and we do not use document content for targeted advertising.
7. Cookies and Analytics
We use cookies, local storage, and similar technologies for authentication, session management, security, preferences, and analytics. We use website analytics and internal event logging to understand visits, downloads, feature usage, and service health. You can control cookies through your browser settings, but disabling some cookies may prevent sign-in or account features from working.
8. Retention
We keep personal information only as long as reasonably necessary for the purposes described in this policy, including providing the Service, maintaining your account, enforcing quotas, complying with legal and tax obligations, resolving disputes, maintaining security, and improving reliability.
Local files remain under your control on your device. Shared cloud documents, collaboration records, account data, billing records, usage logs, diagnostics, and support records may be retained for different periods depending on the feature and our legal or operational needs. Temporary device authentication codes are designed to expire quickly.
9. Security
We use administrative, technical, and organizational safeguards designed to protect personal information, including access controls, encrypted transport, managed infrastructure security controls, and separation of privileged credentials from client code. No online service can guarantee absolute security, so you should keep your device, account, sign-in account, and project files secure.
10. Your Choices and Rights
Depending on where you live, you may have rights to request access, correction, deletion, portability, restriction, or objection to certain processing of your personal information. You may also have rights to opt out of certain disclosures or targeted advertising, but we do not sell personal information or share it for cross-context behavioral advertising.

11. California Notice at Collection
If you are a California resident, this section summarizes the categories of personal information we may collect and use. We collect the categories described below for the business and commercial purposes described in this Privacy Policy.
- Identifiers: name, email, account IDs, third-party sign-in identifiers, customer IDs, device identifiers, IP address, and session identifiers.
- Commercial information:subscription plan, checkout status, billing history, and purchase records.
- Internet or network activity:website visits, downloads, app events, referrers, user agent, analytics, logs, and security records.
- Geolocation: approximate location such as country derived from IP address.
- Audio, electronic, or visual content:content, images, support attachments, prompts, documents, and code you choose to submit to online features.
- Professional or educational information:only if you include it in your account, documents, prompts, shared content, or support requests.
- Inferences: limited product usage inferences, such as usage tier, feature adoption, and service health patterns.
- Sensitive personal information: only if you choose to include it in content sent to online features. We do not use sensitive personal information to infer characteristics about you.
12. International Users
Nebula AI, LLC operates Nebula Writer from the United States, and our service vendors may process information in the United States and other countries. If you access the Service from outside the United States, you understand that your information may be transferred to countries whose data protection laws differ from those where you live. Where required, we rely on appropriate transfer mechanisms and lawful bases such as contract, legitimate interests, consent, and legal obligations.
13. Children
Nebula Writer is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us personal information, contact us and we will take appropriate steps to delete it.
14. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide notice by updating this page, changing the "Last updated" date, and where appropriate, notifying you by email or in the Service.
